Frappe Cloud hosting, explained
- Sites, from USD 5 a month. A single site on shared servers, with managed upgrades and backups, scripting and custom apps. The lowest entry cost, suited to small teams.
- Servers, from USD 20 a month. Shared or dedicated instances, with the application and database together or separate. The usual choice once more people use the system every day.
- Premium servers, from USD 125 a month. Stronger isolation and reliability guarantees for businesses where downtime is expensive.

Self-hosting: free software, not free running
You can install ERPNext on your own server at no software cost, and independent estimates put typical virtual server costs at around USD 10 to 100 a month. The trade-off is responsibility. Backups, security patches, monitoring and version upgrades become your job, and they need someone comfortable with Linux. Self-hosting is cheapest when you already have that skill in-house, and expensive when you have to buy it in during an outage.

Data migration is the item buyers underestimate most. Moving master data is quick. Reconciling opening balances, cleaning duplicate customers and fixing tax codes is what takes the weeks.
ERPNext against a per-user ERP over five years
Microsoft publishes US list prices for Dynamics 365 Business Central: USD 80 per user per month for Essentials and USD 110 for Premium, billed annually. For 40 users on Essentials, that is USD 38,400 a year in licences, or USD 192,000 over five years before implementation.
ERPNext for the same 40 users has no licence line. On a Frappe Cloud server plan from USD 20 a month, hosting over five years starts at USD 1,200, and rises with the server size you need. Both systems still need implementation, and Business Central may suit a Microsoft-centred business better. But the licence difference is large enough that it should be modelled, not assumed.
Costs people forget to budget
- Customisations across upgrades. Custom apps need testing each time you move to a new version.
- Integrations. Ecommerce, banking, payroll and tax connectors each carry setup and maintenance.
- Training. Role-based training at go-live, and again when staff change.
- Internal time. Your team's hours in workshops, testing and parallel running are a real cost, even if they are not invoiced.
